Board Meeting Prep for Annual Meeting

                                                                                               Meeting Notes

 

  • Given the present situation of the coronavirus, all issues will be considered in light of the pandemic and the effect that has on all activities and plans for the Seascape Association for the summer of 2020.

  • President Tim Gallagher declared a quorum at 7:06 pm and started the meeting.

 

President’s Letter

  • What did we do last year?

  • What plans for this year?

  • Does the budget reflect the above?

  • Tim will send an email to the chairmen of the committees and the board members requesting the information by mid May. 

  • Tim expects to receive the information from everyone for the President’s letter.

 

Annual Meeting

  • The annual meeting is held on the last Saturday in June.  

  • According to the by-laws the President and the board may change the date and the manner of meeting, with due notice to the members, generally 14 days in advance.

  • The board decided that we hold the annual meeting on Zoom at the regular date and time.

  • There will be a strict agenda.  Each committee chairperson or representative will have an opportunity to speak.

  • The nomination committee will present their nominations for the election for the upcoming year.  The board agreed to include in the President’s letter to the membership a reminder that the members may choose to submit nominations for the board if they wish before the meeting or they can nominate someone at the meeting during the Zoom call.

 

Budget

  • The board reviewed the budget prepared by John Mannix and discussed how the budget will be presented at the board meeting on Zoom.  

  • The proposed budget will be presented on-screen and reviewed with the membership; questions will be answered and a vote will be conducted.

  • The vote can be done by a “yay” or “nay” and if that is erroneous, a head-count on-screen can be taken.

 

By-Laws

  • Tim informed the board that he heard from a member who wants to pass a motion to make a change to the by-laws regarding following Robert’s Rules of Order.

  • The board suggested that Tim include a request in the President’s letter that any changes a member wants to propose to make to the by-laws must be submitted in writing to the board prior to the meeting.

  • The requests will be presented at the board meeting and then the board may choose to take the requests under consideration for a year.

 

Beaches

  • Greg informed the board of his recommendation that the beaches continue to be monitored as we did for the summer of 2019.

  • This summer, we will make an adjustment to one shift per day 11:00 am -3:00 pm because that is the busiest time at the beaches and it will save some money and simplify the scheduling. 

  • Charlie reported he is in the process of calling Bob Shaw, George Bothello and Dave Collins regarding digging out the benches on A beach and moving sand from the dune on to B beach.  He will follow up with a plan for this beach maintenance.

 

Dues

  • The Board discussed the need to raise the dues for 2021 from $350 to $400 to replenish the road fund.  The dues have not been increased in ten years and it is time. Consideration was given to increasing the dues more frequently than we have in the past to keep up with the fiscal obligations, primarily maintaining the roads and beaches.  Everyone present agreed to propose to raise the dues to $400 for 2021.

 

Social Distancing

  • Regarding the virus this summer, all aspects of the activities on our beaches, dock and ramp, and tennis courts will be dealt with within the frame of some form of social distancing and we will request that everyone adhere to the State and local directives and recommended guidelines.

  • The board acknowledged that the guidelines will change as dictated by the virus and the board will make appropriate recommendations for Seascape at the time of the annual meeting. 

 

The meeting came to a close at 8:20pm.
