Seascape Association

Treasurer Responsibility

Bylaws: As stated in the Seascape Association Bylaws: Section 4.  The Treasurer shall be responsible for receipt of all monies, and the expenditure of funds, as authorized by the Board of Directors and approved at a regular membership meeting.        

A.       Expenditures shall be evidenced by check signed by the Treasurer, or in his/her absence, by the President or Secretary. 
B.       The Treasurer shall maintain accurate records of all financial matters and report the same at the June and August meetings.
C.       The annual financial statement shall be subject to an outside audit in the discretion of the Board.

Responsibilities

  • Maintain current Seascape Member List for use in annual dues collection.

  • Generate annual Billing Notice and mailing labels.

  • In collaboration with the Association Secretary, record and deposit dues payments into Seascape’s Checking account with Rockland Trust.

  • Send out Dues Payment Reminder requests as necessary.

  • Balance and maintain the Checking Account Ledger.

  • Draft proposed Annual Budget for review of the Board of Directors and update as required.

  • Review prior year’s financial results at Annual Meeting and present proposed Budget for Member approval.

  • In collaboration with the Association Secretary, pay bills in a timely manner.

  • Write checks for vendor payments, annual dues such as Real Estate taxes, insurance and the like.

  • Keep receipts, invoices and any documentation received

  • Quarterly Tax Payments

  • Pay Directors & Liability Insurance to Arthur D. Calfee Insurance

  • PO Box renewal

  • Electric Company (Eversource) for street lights (currently on autopay)

  • Donations to foundations for homeowners whose loved ones have passed (recommended $50 donation)

  • As of 2017 some examples of payments would include:

  •               Landscaping

  •               Mooring

  •               Road Work

  •               Conservation

  •  

  • Keep receipts, invoices and any documentation received

  • Not a Responsibility of the Treasurer – Maintenance of the Seascape Website.
